Insightful is cheaper on listed annual prices at the entry tier and the upper tier, while ActivTrak is the only one of the two with a free plan.

All prices are per worker or seat per month and billed annually. Prices checked October 2026. Neither page shows a monthly price. ActivTrak says all plans are billed on an annual contract basis, and Insightful prints billed annually under every price.

The workflow rows are not a like for like swap. ActivTrak Workflow is a process discovery product sold through a separate sales team, and Insightful Workflow Optimization is in beta. Compare them by demo, not by price.

Are screenshots included on both?

Insightful includes screenshots on Workforce Analytics at $8, while ActivTrak sells them through the Screen Details add on with no price on its page.

The ActivTrak table shows Screenshots, Live screen view and App termination as via Screen Details add on on Work Activity Tracking and Workforce Management, and as not available on Productivity Optimization. The FAQ says you add it in the app or by emailing sales.

Insightful lists Screenshots as included on Workforce Analytics, the Combo Plan and Enterprise. It also sells On Demand Screenshots at $4 per seat and Increased Frequency Screenshots at $3 per seat, each with a privacy control. Screen Recording is $4 per seat.

One caution on ActivTrak. Without a Screen Details price you cannot work out the true cost of screenshots. What would you pay, and would it change your pick?

What does the entry tier cost at 10, 25 and 50 seats?

ActivTrak Work Activity Tracking costs $2 more per worker than Insightful Workforce Analytics, so the yearly gap starts at $240.00 for 10 seats.

Illustrative example: the formula is seats x annual price x 12, and the seat counts are chosen for the math. The ActivTrak figure excludes Screen Details, so with screenshots the gap is larger.

The plans do different jobs. Work Activity Tracking centers on compliance alarms, mouse jiggler detection, website blocking and attendance. Workforce Analytics lists productive time analysis, app and website usage, shift scheduling and project time. Which list looks closer to your daily needs?

How do the upper plans compare?

ActivTrak Productivity Optimization at $17 costs $1 more per seat than the Insightful Combo Plan at $16, and the two aim at different buyers.

Illustrative example: same formula. At 50 seats the gap is $600.00 a year.

Productivity Optimization is a planning tier. It lists team benchmarks, capacity and headcount planning, coaching opportunities and technology investment analysis. The comparison table shows website and application usage, real time visibility and screenshots as not included on it.

The Insightful Combo Plan bundles Workforce Analytics with the beta Workflow Optimization product and adds payroll, phone support and a dedicated account manager. If you want the tracking data and the planning layer in one price, Combo is the closer match.

Which tool is better on SSO, security and data history?

ActivTrak includes SSO and MFA on every paid plan from $10, while Insightful keeps SSO for Enterprise, and Insightful keeps more history on every plan.

SSO first. If it is a hard requirement, ActivTrak is the only one of the two with a published price for it, at $10 per worker. On Insightful you must ask for an Enterprise quote. Insightful also lists audit logs as Enterprise only.

Compliance lines are similar on paper. The ActivTrak table lists HIPAA, GDPR, CCPA and SOC 2 Type 2 on every plan, and its FAQ says the platform is SOC 2 Type 2 compliant. The Insightful page shows security badges for SOC 2, ISO 27001, HIPAA, GDPR, CCPA and CSA. We did not verify the underlying certificates for either vendor.

History favors Insightful. It lists 24 months on all four plans. ActivTrak lists 30 days on Free, 6 months on Work Activity Tracking and Workforce Management and 1 year on Productivity Optimization, and sells a Data History add on at $1 per worker per month in one year steps up to three years.

How do trials, billing and support differ?

ActivTrak offers a free plan and a 14 day trial and bills annually on contract, while Insightful offers a free trial of unlisted length with no credit card and bills annually.

The ActivTrak trial gives you the Workforce Management and Productivity Optimization bundle for 14 days and then downgrades you to Free. The Insightful page shows Start Free Trial next to Workforce Analytics and the line No credit card required. We could not confirm the Insightful trial length because its FAQ answers were collapsed in our capture.

Support has a catch on ActivTrak. A paid support plan is required above 50 licenses, and the page does not print its price. Insightful lists online support on every plan and phone support from the Combo Plan.

Ask both vendors the same questions in writing. What is the real price with my seat count, with screenshots, with SSO, and with support?
